Course Description
Event Design, Production and Technology is a project-oriented course focused on the vital components of event design and production, with emphasis on the contemporary technological tools used in event planning. It provides a comprehensive overview of the conceptual and creative applications of design as they apply to modern experiential meetings and special events.
Within the SCNS taxonomy, HFT is the Hospitality and Tourism prefix, and the 3000-level number places this in the upper division of a hospitality or event management baccalaureate. Daytona State publishes it at 3 credits, offered fall and spring, giving approximately 45 contact hours.
The word doing the work in the title is experiential. ⚠ Design serves an objective — start with why the event exists
The discipline that separates event design from decoration, and the thing clients actually pay for.
Every event exists to accomplish something: to launch a product, to raise money, to train a sales force, to celebrate a marriage, to build a community. The design's job is to make that outcome more likely, and a design that is beautiful but works against the objective has failed regardless of how it photographs.
The practical method:
- Establish the objective and how success will be measured before designing anything. "What does a great outcome look like the day after?" is the question that produces a usable brief.
- Know the audience. Demographics, expectations, physical needs, and what they will have done immediately before arriving all shape the design.
- Design the flow, not just the look. How people arrive, register, move, gather, sit, eat, and leave determines the experience more than any single visual element. Bottlenecks and dead space are design failures.
- Match the design to the programme. A room set for networking is a different room from one set for a keynote, and a designer who does not know the run of show is guessing.
- Every element should have a reason. "It looks good" is a reason; it is a weaker one than "it directs attention to the stage" or "it makes the room feel full at 60% attendance."
The presentation skill worth building: clients buy the concept before they see the event, so mood boards, renderings, and a clearly argued rationale are the actual deliverable at the point of sale. Learning to present a design persuasively is as employable as learning to produce one.
⚠ Safety and crowd management: the part of this job with a body count
The most serious content in the course, and it belongs in a design class rather than being left to operations, because most crowd disasters are designed in before they happen.
The recurring causes in live-event incident history are structural, not behavioural:
- Occupancy limits are legal maximums set by fire code based on egress capacity. Exceeding them is a criminal exposure and the precondition for most crush incidents.
- Egress must be adequate, unobstructed, marked, and lit. Décor that blocks an exit, a curtain across a door, or a cable run across an egress path converts a design element into a fatality risk. Fire marshals inspect for exactly this, and their authority is absolute.
- Crowd flow and density — funnels, bottlenecks, and counter-flows are where crush injuries occur, and they are visible on a floor plan before they are visible on site.
- Rigging kills when it fails. Anything suspended overhead requires qualified riggers, engineered load calculations, and documented capacity. This is not an area for improvisation, and "it held last time" is not an engineering assessment.
- Temporary structures and severe weather — outdoor staging, tents, and towers have failed in wind with fatal results. A weather monitoring and evacuation plan with defined trigger thresholds and a named decision-maker is mandatory for outdoor events, and Florida's afternoon thunderstorms and lightning frequency make this a routine concern rather than an exceptional one.
- Pyrotechnics, open flame, and special effects require permits, licensed operators, and fire watch.
- Power — event power is temporary power, in public spaces, often outdoors and often wet. Proper distribution, GFCI protection, and cable management are safety systems.
The professional stance: the person who says "we cannot do that safely" is doing their job. Event production runs on time pressure and client enthusiasm, and both push toward shortcuts. ⚠ The production schedule is the deliverable that makes the design real
Where most student projects fail, and where the profession actually lives.
A design is a hypothesis until it is scheduled. The production timeline — load-in, set, focus, rehearsal, doors, show, strike, load-out — is what determines whether the concept can be built in the time and space available, and it is constrained by things students routinely forget:
- Venue access windows are contractual and expensive. An extra load-in day is a cost, and many venues have a prior event in the room until hours before yours.
- Labour is scheduled and frequently unionized at major venues, with defined call times, break requirements, and overtime thresholds. A schedule that ignores them produces a budget overrun rather than a faster build.
- Sequencing is physical. Rigging before lighting, lighting before drape, staging before AV, floral last. Getting the order wrong means undoing work.
- Rehearsal is not optional, and it is the first thing cut when load-in runs late — which is precisely when it is most needed.
- Strike and load-out are real work with real cost and a real deadline, and they are routinely under-planned.
- Build contingency in. Something always runs late; a schedule with no float is a schedule that fails on contact.

⚠ Accessibility, hybrid delivery, and the technology that is now assumed
Two shifts that changed this field permanently and are now baseline expectations.
Accessibility is a legal obligation and a design constraint from the start. The ADA applies to events in places of public accommodation, and retrofitting access at the end never works well:
- Accessible routes, seating, and sightlines — wheelchair positions must have companion seating and an unobstructed view, not a spot at the back.
- Stage access — if anyone might need to get on stage, there must be a ramp or lift. Presenters and award recipients have disabilities.
- Captioning and assistive listening for spoken content; sign language interpretation where requested, with proper lighting and sightlines for the interpreter.
- Materials in accessible formats, and registration that asks about needs rather than waiting to be told.
- Sensory considerations — strobe effects, volume levels, and quiet spaces are increasingly expected.
Hybrid and virtual delivery is now a standard requirement rather than a pandemic artefact, and it changes production:
- The remote audience needs a designed experience, not a camera pointed at a room. Wide static shots of a stage are the most common and least effective approach.
- Bandwidth, redundancy, and streaming infrastructure are production requirements with real cost.
- Engagement tools — polling, Q&A, and chat — need moderation and a person responsible for them.
- Sound matters more than picture for a remote audience; bad audio loses viewers faster than bad video.
- Event platforms produce data — attendance, dwell time, engagement — which is a genuine advantage over in-person-only events and is increasingly what clients ask to be measured on.
Practical note: Cvent's free certifications are the fastest way for a student to hold a recognized event technology credential, and they cost nothing but time.
⚠ Florida is the best and the hardest place to learn this industry
Regional context that applies across the hospitality curriculum.
Hospitality and tourism is among Florida's largest industries, and the concentration is unusual: the Orlando theme park cluster, the cruise ports at Miami, Port Canaveral, and Port Everglades, the Miami Beach and Gulf Coast resort markets, a very large timeshare sector, and a convention and meetings business that fills several major centres. A student here has access to internships, part-time work, and industry contact that most programmes elsewhere cannot offer, and the single best career move available to a hospitality student is to work in the industry while studying.
The trade-offs are equally specific and worth knowing before committing:
- Seasonality is real. Florida demand swings hard by season and by market, and hours, tips, and staffing swing with it.
- Wages at entry are low and heavily tip-dependent in many roles. Florida's minimum wage has been rising under a constitutional amendment on a scheduled path, with a separate lower direct wage for tipped employees, which changes the economics for both workers and operators.
- Hurricanes are an operating condition, not an exception. Closures, evacuations, cancelled events, and business interruption are budgeted for here.
- The schedule is nights, weekends, and holidays — the industry is busiest exactly when other people are off.
- Advancement is fast for people who stay. Turnover is high, which is a problem for operators and an opportunity for anyone who is reliable, and management positions open earlier here than in most industries.
Course format and transfer
HFT3373 is described by the institution as project-oriented: 3 credits and approximately 45 contact hours, assessed principally by a designed event — concept, floor plans, technical specifications, production schedule, budget, and a presented pitch. Treat the project as portfolio material from the start, because in this field the portfolio and the internship record are what get interviews.
How Florida course levels affect transfer
The first digit of an SCNS number denotes the year of offering, not transferability. Courses at the 1000 and 2000 levels transfer transparently between Florida public institutions, and 3000 to 4000 is unproblematic since both are upper division. The boundary that actually matters is 2000 to 3000, where lower-division credit generally cannot satisfy an upper-division requirement.
HFT3373 is upper division: a lower-division event or hospitality survey will not substitute for it, and A.S. graduates should expect to take the full upper-division sequence at the receiving institution. Note that A.S. degrees are applied and do not carry the A.A.'s guaranteed junior-status transfer, though Florida institutions publish B.A.S. pathways designed for exactly this population.
